8 min readA practical system for assigning, tracking and closing field tasks so the work actually moves.
Crew task management is the system a supervisor uses to make sure the work on a site gets done: what needs to happen, who is responsible, and whether it actually happened.
The default system in construction is the morning conversation. The supervisor walks the site, points at the work, and assigns it verbally. The system works until it doesn't: a task is forgotten, two crews assume the other is handling something, or the completed work is not documented.
A task record fixes the three failure points. Written tasks cannot be forgotten the way verbal ones can. Assigned tasks have an owner. Tasks with a status have a verifiable state.
The workflow in FastBuild is: create a task with a title, description, priority, and due date; assign it to a crew member; move it through the statuses of to-do, in progress, review, and done. The task list can be filtered by status and priority, so the open work is always visible first.
The discipline that makes task management work is closing the loop. A task that is assigned but never updated is indistinguishable from a task that was never created. Supervisors should set the expectation that workers update their tasks as they go, and review the list at the end of the day.
Deactivation is the maintenance tool. When a task becomes irrelevant, deactivate it instead of deleting it. The history stays, the active list stays clean.
Completed tasks feed the daily report, which means the task record and the project documentation agree. A task that shows done in the list also shows in the day's report.
For a crew, the practical benefit is clarity: each worker knows what they own and what is expected. For a supervisor, the benefit is visibility: the state of the site's work is on the screen, not in someone's head.
